Board of Directors meeting minutes
March 3, 2003

Maher called the meeting to order at 7:30 p.m.

Minutes from the previous meeting: approved with changes.

Committees/Reports

Training programs:
10K Training Program – Maher said about 60 people have joined the program, and more are still signing up. Participants have met twice so far and have been divided up in to four groups, each with its own coach.
Wed. night track workout – Grant reported that The Washington Post Weekend section ran an article about the workouts recently.
He also said he hopes the track will be clear of snow in time for this week’s workout.
Saturday Long Run – Racine reported that attendance is good and the group is finding new routes.

Newsletter: The newsletter is at the printer’s now, Maher said.

Welcome Wagon: Maher reported that Posner continues to phone new members to welcome them to the club. He is doing well with this and has not indicated that he needs help.

Past and future races: The board discussed the recent cancellations of races due to snow and ice and that club members, though disappointed, seemed to be supportive of these decisions. Getek noted that the Burke Lake 12K is scheduled for March 8.

Other business: The board discussed whether to refund entry fees for the canceled
Washington’s Birthday Marathon. If refunds were issued, the options include refunding the full fee or only part of the fee. Brown distributed a listing of the unrecoverable costs from the marathon. Maher said she and Brown would consider the board’s suggestions and make a decision soon.

Treasurer: Pyle distributed a spreadsheet showing the club’s income and expenses, and noted that the club is running at a slight deficit. The factors contributing to this include, but are not limited to, the canceled marathon – because the entry fee checks haven’t been recorded yet but the expenses have been recorded – and the new billing structure from the Road Runners Club of America. Board members discussed the possibility of raising dues next year. Buechele noted that the club last raised dues about 15 years ago. DCRRC has the lowest dues of all the running clubs in the Washington area, Maher noted. She read to the board an e-mail message from Amadie Hart, who compiled a list showing how much the other clubs in the area charge. Maher reported that a dues increase requires a vote by the club membership. The conclusion of the discussion was that Maher would describe the situation to the membership at the annual meeting, indicating the possibility that we would end the year with a slight deficit. We would spend time over the year discussing the likelihood of a dues increase with the membership, including how the dues increase would benefit the club in the future.

The meeting adjourned at 8:55 p.m.

The next meeting, which is the annual meeting, is scheduled for March 18 at the DC Public Library.
